Project Manager Vacancy

Lviv Media Forum is a non-governmental organization that strengthens media, institutions, and public figures capable of building healthy public dialogue in Ukraine and abroad. Our goal is an active and democratic society united by healthy communication. Since 2013, we have been working to make Ukrainian media "healthy" — global, professional, ethical, and sustainable.

We are looking for a Project Manager who is ready to become the "engine" of our projects. Even if you don’t have much experience but know how to structure chaos and want to learn, we will help you become a pro.

What Sets Us Apart:

  • Once a month, we have Thursday breakfasts where we eat and talk about anything and everything (except work).
  • You'll have the opportunity to bring your ideas to life and try out new roles.
  • We are developing the Lviv Media Hub and regularly interact with media professionals from Ukraine and beyond.
  • Manage grant projects end-to-end. Work with donor agreements, lead narrative and financial kick-off meetings for the team, and set up daily monitoring and task tracking.
  • Shape content and project concepts. You will have the opportunity to actively design project programs: develop formats and engage top experts.
  • Provide full management of project budgets and primary documentation, as well as align financial adjustments with donors in close partnership with the finance department.
  • Coordinate team members and contractors. Manage the internal project team, source expert trainers or external providers (in-house & outsourced), draft scopes of work (TORs), and evaluate deliverables.
  • Monitor risks and deadlines. Keep a close eye on KPIs, identify potential risks in advance, and proactively adjust plans.
  • Analyze results and handle reporting. Prepare descriptive/narrative reports for donors. Upon project completion, gather the team for debriefs to capture lessons learned for the future.
  • Serve as the face of the organization for partners. Communicate with donors, contractors, and friends of the Lviv Media Forum to build sustainable and reliable partnerships.
  • You have relevant experience: you have successfully implemented grant projects as a PM, understand the specifics of the NGO sector and the media market, and are familiar with the priorities of international donors (or can quickly research a donor's portfolio before a meeting).
  • You can be the owner of your project: you are capable of independently searching for, justifying, and making decisions under tight deadlines, as well as managing resources effectively and efficiently.
  • You excel at working with budgets, reports, and documents, and you are not afraid to dive into financial guidelines or specific donor compliance requirements.
  • You are a confident user of digital tools: you use Google Workspace, MS Office, and task management systems (Asana) daily, and leverage AI tools to automate and optimize routine work.
  • Your English is Upper-Intermediate (B2) or higher: you can easily write business correspondence to donors without systematic errors, argue the organization’s position at international meetings, and independently prepare project documentation in English.
  • You are a team player: the word “deadline” disciplines and motivates you, “synergy” is your working tool, and you are ready to constantly raise the bar of standards for yourself and your colleagues.

Location: You live in Lviv or are planning your own relocation.
